*Administrative Assistant Job Description*
*Division:* RMI
*Reports to: *VP of Human Resources
*FLSA Status:* Hourly
*Summary of position:*
This front desk role in the company is the “first face” of ROERS for many customers and guests and creates an environment of positive and proactive support for a variety of entities within ROERS.
This support person assists teams to reach their full potential and provides expertise and brand-enhancing service to internal and external customers.
*Essential Functions/Responsibilities:* * Follow and demonstrate Roers’ Core Values of Respect, Opportunity, Partnership, Experience, Expertise and Community when working with team members, customers, and our external communities.
* Exceptional attendance.
* Greet customers, vendors, clients, guests in a positive and friendly manner.
* Answer and direct phone calls and transfer to the appropriate department/team member.
* Open and close the office daily (unlocking doors, filling printers, open blinds, etc.
) * Reserve meeting rooms and ensure rooms are ready for internal/external meetings.
* Maintain cleanliness of front lobby, breakroom, conference rooms and supply rooms.
* Maintain office and break room supplies by checking inventory and ordering items.
* Assist in ordering nametags, business cards, names on doors, ordering of accountant checks, etc.
* Assist with preparation of mailings, stuffers, and other projects.
* Collect, sort and route incoming and outgoing mail.
* Maintain beverage supplies and appearance of coffee area for guests.
* Assist with ordering food and providing beverages for client or employee meetings.
* Demonstrate knowledge for operation of office equipment and calling for repairs if needed (printers, postage machine, etc.
) * Be a self-starter; ability to work independently as well as with other team members including leadership team * Assist on various projects for other departments.
Routine support will be expected to assist other employees.
* Provide general office support such as faxing, proofing, document creation, phone listings, filing, etc.
*Other Requirements:* * Customer Focus-Anticipating, meet and/or exceeding stakeholder/customer needs, wants, and expectations.
* Diplomacy-Solid relationship management skills enhancing internal relations and external customer interactions.
* Teamwork-Working efficiently and productively with other employees, customers, etc.
* Self-Starting – Demonstrating initiative and willing to begin working and learn new concepts and generate new ideas/able to problem solve.
* Proficiency in Microsoft Office with expertise in Word, Excel, Outlook, and Teams.
Experience with Zoom also beneficial.
* Detail oriented and comfortable working in a fast-paced office environment * Superior organization skills and dedication of completing projects in a timely manner.
* Strong communication skills, both written and verbal *Education/Experience*: * High School diploma * 1-2 years of experience * 2-year degree or certification in administrative assistant program beneficial *Work Environment:* The work environment as an administrative assistant at ROERS operates in a professional office setting.
The environment is fast-paced, friendly, and an inviting place to be.
The administrative assistant role is, for the most part, a sedentary role.
However, some projects may include physical labor such as filing, moving boxes, etc.
