*POSITION: *IT/IS, Facilities, & Office Coordinator
*DEPARTMENT: *Support Services
*REPORTS TO: *Practice Director
*Job Summary: *Responsible for assisting owner and leadership team with administrative duties, building and technology oversight, and acting as a liaison between various vendors.
*Education and Experience:*
· Two years + experience in a medical office preferred or two years of relevant experience in project management or administrative office role.
· Must have knowledge of computers, printers, and other IT related items and establish relationships with vendors who partner with Fargo Center for Dermatology.
*Essential Skills and Abilities:*
· Dedication to accuracy, timeliness, and positive patient and vendor relations.
· Excellent organizational skills and the ability to manage multiple projects or tasks
· Strong written and verbal communication skills
· Willingness to learn new practice management software and electronic medical record.

· Detail oriented with strong organizational & prioritization skills
*DUTIES & RESPONSIBILITIES:*
· Collaborates with users, vendors, technicians, and leadership to understand and assess computing and system needs and requirements.
· Acts as a liaison between Fargo Center for Dermatology and various vendors related to IT/IS & facilities.
· Oversees backup, security, and user help systems and collaborates with external vendors to assist with troubleshooting various needs.
· Provides technical support to users as needed.
· Detail oriented with strong organizational and prioritization skills
· Flexible work schedule needed in the event of after-hours vendor-related needs
· Ability to maintain an active physical presence in the clinic during clinic hours.
*Information Technology and Information Systems Responsibilities:*
· Working closely with Practice Director and leadership team to ensure clinical IT/IS & facility needs are met and that vendor relationships are maintained.
· Serve as primary liaison between clinic and the clinic’s IT management company.
· Understands & maintains detailed knowledge of various information systems, software, patient kiosks, credit card terminals, and software used throughout the clinic, including advanced knowledge of the electronic medical record and equipment requirements.
· Act as a point of contact for all vendors and technical partners.
· Oversee operation and application of the practice information technology systems, ensuring appropriate utilization of the resources and arranging regular updates and modifications as needed.
· Make sure all computer/IT related equipment is up to date, working appropriately, automatically updating, and have anti-viral protection in place.
· Ensure all equipment is labeled, logged, secured, and accounted for at all times.
· Provide staff training and updates on IT/software updates and changes.
Also provide staff training for new equipment and software upon implementation.
· Maintain visibility of adequate security of the systems and information held within.
*Facilities Responsibilities:*
· Ensures equipment and facilities are clean, useable, and regularly/economically maintained.
· Provide staff training on updates to facilities as needed and with changes.
· Thorough understanding of all building maintenance issues, including grounds, snow, lawn, electrical, heating, cooling, garbage, lighting, cleaning services, and general building maintenance needs.
Serve as the primary contact and liaison for all contracted vendors Fargo Center for Dermatology partners with.
· Serve as primary contact person for keeping all alarms up to date and maintain the ability to respond in a timely fashion to alarms related to security of the building.
· Serve as primary contact in coordination of any security implementation/maintenance/monitoring such as: security cameras, security access codes, security key fobs, door security schedule, and fire alarms.
· Storage unit oversight as well as inventory management of items within.
*ENVIRONMENTAL/WORKING CONDITIONS : *Work is performed in the clinic and involves frequent contact with staff, patients, vendors, and the public.
Work may be stressful at times.
*PHYSICAL/MENTAL DEMANDS: *Work is in an office area utilizing standard office equipment.
In rare instances, duties may require wearing and using personal protective equipment where the risk of exposure to pathogens, viruses, blood, or bodily fluids as well as chemicals, heat and radiation are present.
