Description Under general supervision, the Fire Office Coordinator is responsible for performing a variety of fire support services and customer service duties.
This individual carries out responsibilities in accordance with the organization’s policies and provides information to the general public.
This position also provides secondary support for all divisions of the fire department.
Examples Of Duties Acts as the first point of contact for all inquiries and maintains a positive atmosphere.
Greets the public and determines the purpose of each person’s visit and directs the individual to the appropriate location.
Use of multi-line phone system and voicemail system.
Maintains cash drawer and reconciles/balances daily receipts.
Maintains scheduling for training rooms, conference spaces, props, and public areas of the fire stations Answers, screens, and directs phone calls to the correct department or division Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
Gathers, orders and distributes office supplies to all fire department divisions maintains office equipment; contacts vendors for maintenance and repairs.
Processes fire department revenue and properly posts payment to the corresponding accounts.
Develops and maintains databases and spreadsheets, prepares official correspondence and legal documents using appropriate format.
Receives, responds, and refers inquiries of both a routine and confidential nature requiring knowledge of departmental policies, procedures, activities, and rules regarding data privacy.
May aid other departments.
Assists all fire department divisions with administrative and clerical support tasks, including filing and recordkeeping.
Takes minutes of meetings when necessary Provides backup for the Office Manager in their absence, to include calculating and submitting payroll Works safely, follows safe work practices, and identifies and reports unsafe work conditions.
Performs other duties as required or assigned.
Minimum Qualifications Associate’s degree in business administration, accounting, finance or equivalent field.
Two years of customer service, accounts receivable and billing experience.
Equivalent combination of education and experience is acceptable.
Ability to create and maintain effective working relationships with peers, superiors, other City departments, subordinates, vendors, contractors, external government agencies and organizations.
Strong communication skills, both orally and in writing.
Valid driver’s license.
