Job Summary:
This position provides administrative assistance to the Senior Vice President of Facilities with support in all daily administration functions.
This position implements and maintains processes and procedures to support well-managed, well-maintained properties while placing maximum emphasis on positive responses to the concerns and needs of the employees and tenants, in coordination and conjunction with ownerships goals and objectives.
Primary Duties:
Manage tracking for the real estate portfolio to include; leases, rental payments, occupancy expenses, real estate taxes, insurance, fleet vehicles
Assist with real estate projects to include; budget set-up, tracking and communication throughout the project lifecycle
Code department invoices and credit card statements to include operating expenses and projects
Assist with department communications
Assist with real estate closings/leases and related communications
Assist with annual audits and real estate budgets
Maintain department documentation
Participate in Disaster Recovery/Business Continuity preparation and planning
Proactively raise suggestions, concerns and matters that should be addressed by team/management for improvement
Provide courteous, accurate and prompt assistance for all requests
Reflect a positive and professional representation of the Facilities department by focusing on service
Know by name and face as many customers and employees as possible, calling them by name as often as possible.

Conduct activities consistent with established Bell Bank policies, procedures and systems, the Bell Bank Employee Conduct policies, the Bank Secrecy Act and all applicable state and federal laws and regulations.

Job Skills Required:
Minimum ten years of administrative experience
Must be dependable, trustworthy and maintain a high level of confidentiality
Clear and concise written and verbal communication skills
Strong working knowledge of Microsoft Office programs
Effective time management, organizational skills and ability to prioritize
Perform proactively, take initiative and follow thru on all tasks and communication
Strong analytical and math skills
Desire to learn and growth
Ability to work effectively, independently and as part of a team environment
Effectively prioritize tasks with a result driven attitude, while focusing on the goals of the department and organization
Ability to work within the parameters established by management
Ability to cope with pressure resulting from meeting deadlines, timely reporting to management and workplace demands
Ability to work flexible hours to support the department needs to include after hours and weekends, if necessary
Occasional travel
