*Job Overview* We are seeking a highly organized and detail-oriented Administrative Assistant to join our team.
As an Administrative Assistant, you will be working directly with our executive and accounting team, playing a crucial role in supporting our daily operations and ensuring smooth workflow.
The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to multitask effectively.
Responsibilities * Read and analyze incoming emails, memos, letters, and reports to determine their significance and distribute appropriately.
* Schedule meetings and manage calendar for executive staff * Answer and direct phone calls or take messages for appropriate parties.
* Prepare agendas for meetings and make arrangements, such as coordinating catering for luncheons, and take meeting minutes.
* Perform general administrative duties such as but not limited to; Scanning, filing, photocopying, taking and distributing meeting minutes, managing schedules, coordinating travel arrangements, scheduling appointments with internal and external parties, ordering supplies, sorting and distributing correspondence and maintaining database records.
* Maintain Strict confidentiality and work with discretion * Write and edit communications, from letters to reports and instructional documents * Prepare communications such as memos, emails, invoices, reports and other correspondence * Organizational skills: The ability to maintain order helps ensure executives don’t miss appointments or deadlines.
* Assist in the preparation of regularly scheduled reports.
* Ability to prioritize work.
* Assist in event planning and coordination * *Experience* Previous experience in an administrative role is preferred * Ability to plan, organize and meet strict timelines.
* Excellent verbal and written communication skills.
