Administrative Coordinator (Nonacademic) - Extension Health Nutrition and Exercise Science
This position performs a wide range of administrative, operational, and office support activities related to the general support of faculty, staff, and students.
Administrative duties Provide departmental administrative support, including reception, mail and phones.
Serve as main contact for assigned areas for work orders, fleet vehicle requests, and parking permits.
IT related duties: for example, security and key access; listservs; software updates; review web content for accuracy, etc.
Maintain accurate records for department per requirements.
Oversee departmental communications, as needed.
Schedule meetings, Zoom/Teams calls, create room reservations.
Event planning (speakers, refreshments, communications, etc).
Maintain meeting minutes.
Book travel.
Purchase requests.
Receive physical goods.
Facility Management processes: Coordinate office space changes for employees, key access, etc.
Coordinate hiring process Support the recruitment process (interviewing, scheduling, etc).
Post job openings and create new hire requests.
Communication with HR and search teams throughout hiring process.
Ensure all paperwork is accurate and completed to turn into HR timely (screening sheets, interview questions, interview reports, contracts, agreements, references, etc).
Responsible for managing new employees onboarding checklist and I-9 form.
Provide support for assigned departments operational processes Departmental asset management: track supplies and equipment inventory; affix inventory tags; report equipment moves; proper disposal of items; and maintain asset compliance.
Complete annual inventory and insurance processes.
Collaboratively work with the Accounting Service Center and Business Center personnel.
Provide support for data requests and reporting.
Support the overall success of the department Provide backup assistance as needed for team members Work Schedule: Monday – Friday 8:00-5:00 (Academic Year); 7:30-4:00 (Summer) Minimum Qualifications: High school diploma or GED 2 years directly related experience in an administrative office Excellent written and verbal communication skills Attention to detail Knowledge of Microsoft Office Ability to communicate and work well with people all levels of employees, diverse populations and varying specialties.
Preferred Qualifications: Associate’s Degree or 2 years of college.
