Overview:
Responsible for performing a variety of administrative functions supporting all levels of the Learning & Leadership Development team, with a focus on the Learning Management System (LMS) and Learning Records Tasks require a significant level of trust, self-discipline/confidential discretion and are of moderate to advanced difficulty requiring excellent administrative and organizational skills.
Responsibilities:
Provide excellent customer service to both internal and external clients
Communicate messages to the appropriate parties in a timely manner
May support with data entry in various systems
Support with verification of data accuracy in various systems
Build trust and work collaboratively with partners at multiple levels of the organization, including staff, craft, stakeholders, and management
Provide general administrative support to Learning & Leadership Development team, including word processing, data entry, copying, emails and other general administrative functions
Create and maintain team meeting records including agendas and meeting notes
Process invoices and purchase orders as needed
Assist the LMS administrator by entering data on training and certification rosters and records into the LMS or other systems as required; scan training and certification documentation and log into systems as needed
Enter external vendor (example: OSHA) training records, scan and distribute cards
Coordinate collateral for Learning & Leadership programs and meetings, including schedule meeting rooms, arrange hotel accommodations, travel, and food/catering
Order, catalog, track and ship supplies for Learning & Leadership development events as requested
Distribute and monitor evaluations for training and leadership development programs
Set up training rooms and facilities, distribute training materials, and assist corporate trainers during training sessions and classes
Collaborate with Workforce Development Coordinator to provide backup and support when necessary, including virtual training/producing and event support
Participate in company-wide committees as time allows to foster collaboration and communication with team
Assist in addressing requests for reports for Learning Management System
Assist with updating and transferring training records for employees who transfer into the company or within organizations in the segment as needed
Assist with maintaining schedule of learning programs; including creating live trainings in the system and keeping schedule of live trainings up to date

Qualifications:
Education and Work Experience Requirements:
Associates or Bachelor’s degree in business, education or related field preferred
Minimum of 2 years of experience in office support or administrative roles and/or experience with a learning management system
Knowledge, Skills and Abilities Required:
Take reasonable care of your own and others’ health and safety and of those who may be affected by the day-to-day delivery of this role by taking personal responsibility for working toward Zero Injury principles
Excellent customer service skills and ability to manage multiple priorities
Ability to successfully communicate to multiple levels of technical understanding
Advanced computer skills and knowledge of Microsoft Word, Excel and PowerPoint
Type and write reports with accuracy and appropriate grammar
Excellent organizational skills and ability to multi-task
Effectively present information and respond to questions from employees
